A stunning opportunity for an experienced Membership Network/Volunteer Manager to join the team of a highly respected and influential Professional Body/Chartered Institute to help deliver a highly effective and engaging Branch Network.

The ideal candidate will have previous experience engaging with a volunteer network or expertise in engaging with and motivating members. He or she will have advanced knowledge of a varied toolkit of engagement methods involving CRM, bulk email, web, email, social media and face to face. The successful candidate will also be a natural leader with a flair for leading by example as well as motivating a small team.

Job Purpose

To develop policy in relation to the Branch Network that is volunteer led, implementable, manageable and measurable.

Key Accountabilities

To manage 2 x (potentially 4 x) Branch Administrators.

Present information about the branches from CRM in useful and engaging ways to volunteer committees and internal stakeholders

To provide year-on-year reporting for Branch Network Activities

To support member engagement targets through the branch network

To work with senior staff and volunteers to develop policies and processes that support and manage volunteers

To measure the success of new strategies and to benchmark engagement KPI’s year on year

To develop relationships with the Branch Network to better support their needs:

Provide new committee members with welcome packs and develop and update resources for Branch committees with clear guidelines for best practice

To offer face-to-face contact and support for branches

To oversee a programme of visits by HO staff to the Branch Network

To provide content for quarterly bulletins for Branch Committees to maintain regular and consistent communication across branches.

Increase engagement through recognised channels e.g. bulk email tool, the website, email, social media

To communicate within agreed brand guidelines in a consistent and highly professional manner

To provide a suite of tools to assist branches with marketing

To help volunteers develop a branch network “voice”

To adhere to policy and procedure regarding approval processes for all communications with members and volunteers

To assist Branches with Succession

To develop and implement policies to promote good governance throughout the network

To lead on the formation of working groups, reporting into Joint Branches sub-Committee, to develop new policies and procedures including:

Standardised pricing across events in the network

Standardised feedback processes across events in the network

Succession planning

To manage the delivery of the Branch Programme annually and to deploy all submissions to their various outputs: CRM, Websites, Dotmailer, Email Marketing

Programme Booklet for inclusion in Tax Adviser Magazine in August RegOnline/New Events Platform IT

Other promotional materials

To manage Branch Committees:

oversee the welcoming of new officers/the succession and thanking of past officers

data handling and updates in CRM

formulation of content for Branches Conference, Forum and Branch Volunteer induction

Quarterly newsletter to volunteers

Manage the “Volunteer Code of Conduct” process

To support Joint Branches sub-Committee

Recording accurate minutes of meeting and distributing on a timely basis

Working with the chair and other committee volunteers to follow through on agreed actions with other members of staff and managers

To provide guidance and advice to the chair and set realistic expectations

To follow agreed protocols in relation to the use of software and data storage and use

Skills needed to fulfil the role

Customer Service focus

Switchboard and call handling

Competent in MS Office Packages

Ability to solve problems

Ability to use office IT systems e.g. CRM, Office 365 etc.
