My client a reputable membership professional body is currently looking for a Membership Executive to work at their offices in Bank, Central London.
If you are a Membership Executive working for a trade association, professional body, chartered institute, royal society or other membership based organisation we would love to hear from you.
The Membership Executive role is spilt into 3 main areas of duties – Membership, Events Administration and General Administration. You will work in a small team reporting to the Membership Manager.
Deal with email enquiries that come through via the website, through email and on the phone.
First point of contact for membership applications
Take card payment for new members and renewal payments
Raise invoices for membership subscriptions
Chase outstanding membership invoices
Monitor payments made via BACS, PayPal and Smart Debit
Sending payment receipts to members
Email Paul the membership card spreadsheet for printing cards every 2 weeks
Post membership certificates and cards to new and renewed members
Email new students requesting their postal addresses to send them their certificates
Create the magazine mailing list on a quarterly basis and email to publishers
Post magazines to corporate partners
Call individual members on a regular basis to remind them of the benefits, and obtain feedback on the membership
Review accounts with potential problems and proactively contact the customer to discuss and resolve any issues
If members want to resign, call them to find out why and get their feedback
Engage with small corporates (less than 5-10 members), check they are happy with services
Conduct presentations with them around the benefits, Members Area etc
Help recruit members in certain organisations
Upload new members onto the membership system and ensure that all records are up to date, cleansing data as and when needed
If any information e.g. email addresses/tel no’s are incorrect, update with correct info
Add new members and corporate student cohorts onto Membership System
Help source learning content for the online resource library through conversations with members. Actively pursue warm leads
Create letters and emails to notify members of changes, updates etc to membership.
Involvement in special projects including rolling out new membership system etc, Master-Fellow campaign, reaching out to members on LinkedIn who are still using in title
Think outside of the box, how to engage further with members
Work with the Membership Manager to deliver recruitment and retention campaigns
Any other duties assigned from time to time by the Membership Manager

create and package name badges
Collate feedback from events and send to Membership Manager
Help set up at London based regional events
Send out the collateral to events via courier
Attend events where needed and network with attendees, promoting the ISM and benefits
Follow up email to attendees thanking them for coming and convert to members
Reach out to people on LinkedIn individually around the region to let them know about the event
Upload attendees onto the membership system
Take minutes for roundtable discussions i.e. committees, special interest groups
Open all post and scan
Organise courier service for Membership and other departments as requested
Upload everybody’s annual leave onto the holiday spreadsheet and file holiday request forms
Expenses – scan receipts and print forms for sign off approval
Collect parcels from reception
Contact reception if there are any problems with office such as phones or air con
Contact urban network for computer problems
Contact artel for printer/scanner problems
Pro-active, problem solver, high level of accuracy and attention to detail.
Experience working with databases is essential. Proficient use of Microsoft Office, specifically Outlook and Excel.
Excellent communication skills (written and verbal)
Excellent time management skills: able to manage own workload but with the ability to take on ad-hoc requirements from the team, multitasking and working to tight deadlines.
Experience of working in an office environment.
Experience as a Membership Experience working for a trade association, professional body, chartered institute, royal society or other membership based organisation.
